What we collect, what we never share.

Radiant Minds collects the minimum we need to deliver your project, stores it on access-controlled systems, and does not sell, rent or share it with any third party. This policy explains the detail.

What we collect.

We collect three kinds of information when you engage with us.

Contact details you share with us - name, email address, phone number and the service you are enquiring about - through our contact form, email, WhatsApp or phone.

Inquiry context - when you send an enquiry through the website, we also record how you reached us: the page you enquired from, the site or search that referred you, and any campaign tags in the link you followed. This is attached to your enquiry so we understand which resources lead people to get in touch. It is never sold or shared.

Project materials you send us - abstracts, datasets, draft manuscripts, supervisor feedback, reference files and any other documents needed to deliver the engagement.

Usage data from this website - anonymous information collected by web analytics about pages visited, referral source and device type. No personal identifiers are stored with usage data.

How we use it.

Your information is used for three purposes, and three only.

  • To deliver the service you have engaged us for: drafting, editing, statistical analysis, submission support or any other scoped deliverable.
  • To respond to your enquiries and follow up on project status during an active engagement.
  • To maintain and improve this website, anonymously, so we know which pages are read and which are not.

Your project materials are never used to train any model, compile case studies without your consent, or populate our own marketing.

How we store it.

Project materials are transferred over encrypted channels and stored on access-controlled systems. Files shared over email are password-protected, with passwords sent through a separate channel (typically WhatsApp or phone).

Access to your project materials is limited to the editor, statistician and reviewer assigned to your engagement. Every member of the team is bound by a confidentiality undertaking covering unpublished data, methodology, patient information and institutional affiliations.

How long we keep it.

We retain project materials for the duration of your engagement and for up to 90 days after completion, in case of revision requests or related follow-up work. After that window, materials are deleted from our active systems and retained only in encrypted backup storage for one year, after which they are permanently deleted.

You can ask for your project materials to be deleted earlier at any time - write to us and we will confirm within one working day once deletion is complete.

Third parties.

We do not sell, rent or share your information with third parties for marketing.

A small number of technical services support the operation of this website and our email delivery. These providers receive only what they need to function and are bound by their own data-protection commitments: our email delivery provider (Resend), website hosting (Vercel), and anonymous web analytics (Google Analytics or Vercel Analytics, where enabled).

We do not transfer your project materials to any third party without your written permission.

Your rights.

Under India’s Digital Personal Data Protection Act 2023 (and equivalent rights under applicable international frameworks), you have the right to:

  • Access the personal information we hold about you.
  • Correct information that is inaccurate or incomplete.
  • Withdraw consent and have your information deleted.
  • Raise a grievance about how your information has been handled.

To exercise any of these rights, or to contact our grievance officer, write to inquiry@theradiantminds.com. We respond within one working day.

Updates to this policy.

If this policy changes, the Effective date at the top of this page will be updated and the revised policy will apply to engagements starting after that date. Prior engagements remain governed by the policy in force when they began.

Note

This policy states our operational practice. Formal, legally binding terms for a specific engagement are set out in the written scope and engagement letter you receive before work begins. In the event of a direct conflict between this page and a signed engagement letter, the engagement letter prevails.
